What is an AI Strategy Day?

One day on-site. Up to 4 people in the room. You walk out with a 90-day plan you own — written, specific, and not built to sell you anything else.

Strategy Day workshop in progress

It's 9:14 AM on a Tuesday. You've been in the trade for 22 years. You know exactly which two parts of your business are broken — the parts you've been promising to fix “next quarter” for three years running. And somewhere on the internet there are 4,000 articles telling you AI can solve all of it.

You don't need another article. You need someone in the room. Someone who'll look at how your business actually runs, point at the two or three things AI can fix this quarter, and hand you the plan to do it. That's a Strategy Day.

01

The Premise

Why generic AI advice doesn't stick.

Most AI consulting starts with the consultant. The consultant has a methodology. The methodology has slides. The slides explain “the future of AI in your industry.” By the end of two hours, you've learned about transformers, large language models, and something called retrieval-augmented generation. You've learned nothing about your business.

A Strategy Day inverts that. The consultant's job is to ask questions, not deliver answers. The whole morning is mapping yourbusiness — the actual workflows, the actual friction, the actual hours your team is bleeding to manual work. By noon, the consultant has a picture of your operation that's sharper than most owners have ever had.

Then we apply AI. Not theoretically. Specifically. To the things that hurt.

Generic AI advice doesn't stick because your business isn't generic. Your workflows are specific. Your bottlenecks are specific. The fix has to be too.

02

The Day Itself

What actually happens, hour by hour.

  1. 9:00 AM

    Coffee, then the walkthrough.

Up to 4 people from your team in the room — usually the owner plus the two people who know where the bodies are buried. We start with a tour: actual desks, actual screens, actual tools. The version of your business in your head and the version on the floor are usually different.

  2. 10:30 AM

    The bottleneck audit.

We sit down and trace customer journeys, employee journeys, and money journeys. Where does a lead enter? Where does a customer churn? Where does a Friday afternoon evaporate into manual data entry? We mark every friction point on a single sheet.

  3. 12:30 PM

    Lunch. You eat. I think.

While you and your team grab food, I sort the morning's findings into three buckets: ‘AI fixes this today,' ‘AI helps this next quarter,' and ‘this is a process problem AI won't solve.' That last bucket matters as much as the first.

  4. 2:00 PM

    The opportunity walkthrough.

We come back and I show you 3 to 5 concrete AI opportunities. For each one: what problem it solves, how it would work, what it costs to build, how long to deploy. No theory. Real numbers.

  5. 4:00 PM

    We rank. You decide.

We sort the opportunities by impact and effort. You pick which ones to act on first. I write down your top three on the spot. The day ends with a clear next-quarter plan — even before the written blueprint arrives.

  6. Within 1 week

The blueprint lands in your inbox.

An 8–12 page AI Opportunity Blueprint — your business, your roadmap, your cost estimates. Not a 60-page consultant deck. Yours to keep, share with your team, or hand to whoever builds it. We'd like to build it. You're under zero obligation to use us.

Who Books This

Four kinds of business owners who get the most out of it.

We've run Strategy Days for accountants, contractors, clinic owners, real-estate brokerages, manufacturers, family-run insurance shops, and SaaS founders. Different industries — but the people who get the most out of it share a profile.

Trades business owner reviewing schedule

Trades

The contractor running 3+ trucks.

You're making money on-site. Every hour your office manager spends chasing receipts, scheduling crews, or invoicing clients is an hour the business is bleeding. A Strategy Day finds the bleeding.

Professional services partner

Professional Services

The 40-person law or accounting firm.

Your brand is responsiveness and quality. Your team is spending 30% of the week on intake, document review, and email triage. We map exactly where AI buys you that time back without compromising privilege or accuracy.

Clinic operations manager

Healthcare & Clinics

The clinic with two reception staff and a phone that won't stop.

Patient intake, appointment reminders, no-show recovery, referral routing. Most of it can be automated PHIPA-safely. A Strategy Day shows you which workflows go first, and where the human still has to be in the loop.

Operations director in warehouse

Operations & Manufacturing

The plant manager who runs reports at 11 PM.

If you're rebuilding the same spreadsheet every Monday, that spreadsheet should build itself. We find the 4 to 6 recurring reports AI can write for you and ship them in the build phase.

Real estate and client-facing professional

Client-Facing

The realtor, broker, or agent doing it all themselves.

Lead follow-up, listing prep, client comms — the things that scale you past the point of one person. AI doesn't replace your relationship skills; it gives you 10 more hours a week to spend on them.

HR and operations professional

HR & Internal Ops

The HR or ops lead with a list of fixes nobody approves.

You've been proposing the same five fixes for two years. A Strategy Day turns your gut-feel list into a costed, business-cased roadmap your CFO will actually green-light.

A Strategy Day isn't about replacing people. It's about killing the bad business processes your team hates as much as you do.

05

Honest Filter

When NOT to book a Strategy Day.

We turn away two or three sessions a month. Not because the businesses aren't real — but because a $1,000 day wouldn't be the right move for them. Here's when to skip us:

Don't book if

  • You're "just curious about AI" but don't have a specific operational problem.
  • You haven't tried any AI tools yourself yet. Start with ChatGPT for two weeks first.
  • You're under 5 people and your problems are still solvable with cheaper SaaS.
  • You want a sales pitch you can ignore. We're going to put you to work for 6 hours.
  • You're hoping to use AI to lay people off. We don't help with that, on purpose.

Book if

  • You have a specific, named, recurring problem that's costing real money or sleep.
  • You've already poked at ChatGPT or Claude and want to know what's next.
  • You're a team of 6–200 with real workflows and real friction between people.
  • You want to spend a day getting clarity, not absorbing a deck.
  • You want to free your team up — not replace them.

FAQ

Things people ask before they book.

How long does the blueprint take to arrive?

Within one week. Usually 3 business days. The 7-day window is our guarantee — it's never been late.

Do I need IT staff in the room?

No. We talk to operators and decision-makers — owners, GMs, department heads. If your IT lead wants to sit in, welcome. They're not required.

What if I'm not ready to implement?

Then a Strategy Day is exactly right. You get clarity now, implement in 3 or 6 months when budget aligns. The roadmap doesn't expire.

Why cap the room at 4 people?

Four means everyone speaks. Eight means three people stay quiet. For larger teams or multi-location workshops we make special arrangements — ask when you book.

Do I have to hire you to build it?

No. The blueprint is yours. About half of our Strategy Day clients hire us for the build. The other half use the roadmap with their existing team or an agency they already trust. Both are fine outcomes.
