Automatically Collected Information
When you visit our website, we automatically collect certain information about your device and usage, including:
- IP address and browser type
- Pages viewed and time spent on site
- Referring website or search terms
- Device information (operating system, screen size)
When you send one of our forms, it also includes the page you landed on, the site that referred you (its address only, without search terms), and any campaign tags or ad click IDs from the link you followed (such as utm tags or Google's gclid); your browser keeps these in local storage on your device, and we store them with your inquiry.

We use the information we collect to:
- Respond to your inquiries and provide customer support
- Deliver our services and fulfill contractual obligations
- Send newsletters and marketing communications (with your consent)

Cookies and Tracking Technologies
We use cookies and similar tracking technologies to enhance your browsing experience and analyze website traffic. These include:
- Essential cookies: Required for the website to function properly
- Analytics cookies: Google Analytics helps us understand how visitors interact with our site
- Preference cookies: Remember your settings and preferences
The booking calendar is hosted by Cal.com and may set its own cookies. You can control cookies through your browser settings. Disabling certain cookies may affect website functionality.
Booking a Call
You book an AI Discovery Call on our Strategy Session page. We ask a few short questions first, save what you type in our own database and email it to Steffen, along with the page details described under Automatically Collected Information. Then you pick a time in a booking calendar from Cal.com, a company in the United States.
When the calendar opens, we pass your name, email address and company name to Cal.com, along with the campaign tags (utm tags) from the link you followed, so it can fill in the booking form for you. This happens even if you do not go on to book. The calendar loads from Cal.com, so Cal.com sees your IP address and browser details.
The Cal.com booking asks for:
- Your name and email address
- Your company name and website
- What you would like AI to help your business improve, chosen from a list
- An optional note for us
Cal.com processes booking details in the United States and does not offer a Canadian region at this time. You can also book the same call on Cal.com's own page, which asks for the same details.
Once you book:
- Cal.com adds the booking to our Google Calendar, and Google creates a Google Meet link for the call
- Cal.com emails you a confirmation and a reminder before the call
- Cal.com tells our website about the booking, and about any change or cancellation. We save those details (your name, email address, the call time and the booking details Cal.com sends) in our own database, next to anything you sent us through this site with the same email address
Google Meet calls may have Gemini take notes and make a transcript. Google tells everyone on the call when this is on. The notes and any transcript are saved in our Google account. By default, Google shares the notes only with people inside our own Google organization.
Workshop Registrations
When you register for a workshop, we save your details in our own database and email them to Steffen. We also email you a confirmation with the dates and the location. We use your registration to run the session and to follow up about it.
AI Chat
Our site has an AI chat. It is switched off at the moment. When it is on, the messages you type are saved in our own database and sent to Anthropic, a company in the United States, so its Claude model can write the replies. Your browser keeps a random visitor ID in local storage so the chat can follow the conversation.
Please do not type anything private into the chat. We keep chat messages until you ask us to delete them.
Third-Party Services
We use the following third-party services that may collect information:
- Google Analytics: For website analytics and traffic analysis
- Cal.com: For booking calls and sending booking confirmation and reminder email (a United States company; data handled per Cal.com's privacy policy)
- Google Calendar and Google Meet: For our calendar, call links, video calls and call notes (data handled per Google's privacy policy)
- Resend: For email delivery and newsletter management
- Anthropic: For AI chat replies, only when the chat is switched on (a United States company)
- Hostinger: For website hosting
Data Sharing and Disclosure
We do not sell, trade, or rent your personal information to third parties. We may share information in the following circumstances:
- With service providers who perform services on our behalf
- To comply with legal obligations or respond to lawful requests
- To protect our rights, property, or safety
- In connection with a business transfer or acquisition
Data Security
We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. All data transmission is encrypted using HTTPS/TLS.
Data Retention
We retain your personal information only for as long as necessary to fulfill the purposes for which it was collected, including legal, accounting, or reporting requirements. We keep contact form, Strategy Session, Strategy Day and workshop registration submissions until you ask us to delete them. We have not set an automatic deletion date.
We keep booking details in our Google Calendar and in our own database, and Cal.com keeps its own copy under its own policy. Call notes and any transcript stay in our Google account until we delete them. We have not set an automatic deletion date for bookings. To ask us to delete your booking details or call notes from our records, email info@botlogix.ca.
