There is no single best tool. Claude (Anthropic) wins for long documents, nuanced writing, and safety-critical work. ChatGPT (OpenAI) wins for custom GPTs, image generation, and developer tooling. Gemini (Google) wins for businesses on Google Workspace, and Microsoft Copilot wins for businesses on Microsoft 365, because it works inside Outlook, Excel, and Teams. A practical setup is the assistant that already comes with your email and documents, plus Claude or ChatGPT for writing and analysis.

Outlook, Excel and Teams
Copilot Chat comes at no additional cost with eligible Microsoft 365 plans. It's a web-grounded assistant, and it includes Copilot in Outlook and the Microsoft 365 Copilot app. The paid Copilot Business licence is where it moves into the rest of your work: Copilot inside Word, Excel, PowerPoint and Teams, chat that can draw on your own work data, and the Researcher and Analyst agents. It's an add-on, so you need a qualifying Microsoft 365 Business plan underneath it.
What happens to your data
Copilot Chat and the paid licence both sit under Microsoft's Data Protection Addendum and Product Terms, with Microsoft acting as your data processor. Microsoft says your prompts, its responses, and the work data it pulls in through Microsoft Graph aren't used to train its foundation models. Two exceptions are worth knowing. Web searches sent to Bing fall under the Microsoft Services Agreement, where Microsoft is an independent controller rather than your processor. And where Copilot runs on Anthropic's models, Microsoft says those are currently outside its in-country processing commitments.
When to keep ChatGPT or Claude alongside it
Copilot does its best work on things that already live in Microsoft 365: the email thread, the spreadsheet, the Teams meeting. Keep Claude for the people who write long proposals and reports or work through long documents. Its paid plans also list Claude for Microsoft 365 and Claude for Microsoft Outlook, which is worth a look if that's where your team works. Keep ChatGPT if you rely on custom GPTs or image generation, or someone on the team builds with the API. You don't need to buy either one for everybody. Give the heavy users a Claude Team or ChatGPT Business seat (both have a two-seat minimum), run it for a month, and keep what gets used.

Pick Claude if...
You write a lot. You handle long documents. You're in legal, professional services, healthcare, or any field where reasoning quality matters more than speed. You want the most reliable, safety-conscious model.
Pick ChatGPT if...
You need image generation. You want to build or use custom GPTs. You have developers on staff who'll build with the API. You want the broadest range of integrations.
Pick Gemini if...
Your business runs on Google Workspace. You want AI inside Gmail, Docs, Sheets, and Meet without switching tools (that takes Business Standard or Plus; Starter covers Gmail and the Gemini app). You need multimodal (video, audio) analysis at scale.
Pick Copilot if...
You already pay for Microsoft 365 and most of the day happens in Outlook, Excel, and Teams. Start with Copilot Chat, since it comes with eligible plans. Buy the paid licence only for the people who would use it inside those apps every day.
